This Privacy Policy explains how billmove.com (“we”, “us”) collects, uses and protects your information when you use billmove.com and its websites, apps and WhatsApp/Telegram bots (the “Service”). By using the Service, you agree to this Policy.
1. Information we collect
- Account: name, email, password (stored hashed), country, currency, tax rules, and (if you link them) your WhatsApp phone number or Telegram ID/username.
- Business & invoices: business name, Tax ID (GSTIN/TRN/EIN/VAT ID), address, state, logo, customers, and the invoices you create.
- Bills & documents: images and files you scan or upload, and the text/items extracted from them.
- Income/expense entries you add via chat or the web.
- Usage & technical data: actions taken, usage counts, log data, device/browser info and IP address.
- Payment data: handled by our payment providers (e.g. Razorpay, Stripe). We do not store your full card details; we keep payment references and status.
2. How we use it
- To provide the Service — create invoices, read bills with AI, track income/expenses, send documents.
- To operate your account, apply plan limits, and process payments and refunds.
- To communicate with you (e.g. verification, receipts, support, important notices).
- To improve, secure and troubleshoot the Service, and to prevent abuse or fraud.
- To comply with legal obligations.
3. AI processing & third parties
To deliver features, we share the minimum necessary data with trusted providers:
- AI (e.g. Google Gemini): bill images and text/prompts are sent to be read and processed. Do not upload content you are not permitted to share.
- Payments: secure payment processors (e.g. Razorpay, Stripe) handle your transactions.
- Email/Messaging: providers used to send emails and operate the WhatsApp/Telegram bots (e.g. Brevo for email; Meta Platforms, Inc. and its affiliates for WhatsApp / the WhatsApp Business Platform; Telegram; and the messaging intermediaries and infrastructure providers they rely on). To deliver reminders, one-time passwords (OTPs), invoices and notifications, your linked WhatsApp phone number or Telegram chat ID and the message content are transmitted through these platforms and their affiliated, partner and intermediary servers. The delivery and timing of these messages are controlled by those third parties and are outside our control — see the Terms (Message delivery, timing & availability).
- Hosting & storage: cloud hosting and object storage (e.g. AWS, Cloudflare) to run the Service and store your files.
These providers process data under their own terms and privacy policies. We do not sell your personal data.
4. Data retention
We keep your data while your account is active and as needed to provide the Service, meet legal/accounting requirements, resolve disputes and enforce our agreements. You can request deletion (see below); some records may be retained where required by law.
5. Security
We use reasonable technical and organizational measures to protect your data (e.g. hashed passwords, access controls). However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
6. Your choices & rights
- Access, update or correct your details in Settings or Dashboard.
- Request a copy or deletion of your data by emailing [email protected].
- Unlink WhatsApp/Telegram at any time in Settings.
Depending on your location, you may have rights under global data protection regulations (such as GDPR, CCPA/CPRA, or India’s DPDP Act). We honor applicable privacy rights globally.
7. Cookies
We use essential cookies/local storage to keep you logged in and run the Service. We do not use them to sell your data.
8. Children
The Service is for business use and is not intended for children under 18. We do not knowingly collect their data.
9. Changes
We may update this Policy. Material changes will be posted here with a new “Last updated” date.
